Notification for partially completed project in Smart Projects

Vendors have the option in their portal to click "I Completed Part of the Job", and once they do, they see a message saying "Thank you for informing us that you have already completed a part of the job." However the PMs are not informed; there is no notification available. Is there a way to set a notification for this in the system?

Changes to finished projects

Hello! I was wondering if it is possible to disable the automatic emails that are sent to vendors temporarily (and **easily!**). I ask this because sometimes we have to make changes to projects once the have been marked as "finished" and we have to reopen the projects (not the type of changes you can make without reopening), so the vendors involved in the project receive an email saying they have a new project, which is not true, it's just the project they just worked in, that we had to reopen to make the change we needed. So, is there a way we can avoid sending out those mails when we reopen a closed project? Thank you!

Job offers going to spam?

One of our project managers recently had some trouble getting vendors to respond to her job offer emails. Is it possible that her job offers were going to their spam folders? Has anyone else had this issue?

Vendor's name vs legal name in search bar

When we search for a vendor by name using the search bar, the results that appear are always based on the vendor's legal name, not the vendor's name, which may be different. Is there a way to change this setting?

I'm afraid there is no configuration in the system that would allow you to make this kind of selection.

Vendors' native language in Vendors view

We would like to create a view where we can filter for a specific native language. Barring that, we would like to be able to add a column for the vendor's native language to a view. Is this possible? The only options we've found so far are:

- accounting contact person's native language

- target as native language

Hi Seyma

The information about specific language being native for the Vendor in represented as the checkbox on the language combination in the Vendor profile. That is why the filter Target as the native language is a simple Yes/No selection. But if you combine that filter with the Target language filter it should give you the information you need. 

All you need to do is select the target language you're looking for and additionally set the Target as a native language to Yes. 

We don't have a column to show that information, maybe it would be possible to display this information with a custom column.

How can I add files to closed project?

I want to add an offline deliverable to a closed project, but I can't see an option to do that anywhere.

Hi NadiA

To add files to a closed project you need to change the project status. In XTRF project becomes closed automatically when all process steps are in the Ready od Canceled status. 

the simplest way to reopen the project is to change the status of one of the steps (for example the last step in the process) back to start, add the files add then change the step status to Ready.

You can do similar if the step is canceled, you can change it to Opened and then back to Canceled again.

What is the difference between a task and a job?

Hi Marcela,

The easiest way to explain the difference would be that a task is one whole workflow and a job is one part of a workflow (e.g. translation job, review job ...). So jobs are parts of a workflow and a task is the whole workflow.

Not setting target language

Hello again, I have a DTP project that has EN as source language but many languages as target which are not really relevant to the project, since this is not a language thing but a design thing. Is it OK if I don't set up a target language? What will happen with my receivable if I do this? Thank you!

Hi Marcela

Technically the project in XTRF requires both source and target language, at least form the Vendor assignment perspective. You can't select a Vendor for a job if there's no language pair.

And since you can't select a Vendor you can't start and complete job, thus the project won't get closed.

In a case like this, when the Target language is not so important, I'd suggest selecting the same language twice, as both the source and target of the project.

Yes, when you add multiple tasks to the invoice the whole group will get one Invoice number.

And yes, You can add there only tasks that were not invoiced yet.
