can you delete a view that was created by someone who is no longer in the company?

MindyK 5 years ago in Home Portal / Classic Projects updated by Marek Joniec (XTRF Product Manager) 5 years ago 1

We have some views that were created and shared by people who are no longer in our organization, and are no longer needed. Is there a way we can delete them? Thank you!

Hi, an administrator should be able to go to Settings -> General Configuration -> Views and delete any view. You can also search by Owner Name so you then batch delete all the views created by that person, if you like.

bundles to multiple jobs - classic view

MindyK 5 years ago in Home Portal / Classic Projects updated 5 years ago 5

I would like the output files from Job A to be sent to the following: Job B, Job C, Job D (yes, these can be started at the same time).

I would then like the output from Job B, Job C and Job D to go to Job E. Is there a way to do this with bundles?

Does anyone have any suggestions?

Tasks value versus Net total

Krijn 5 years ago in Home Portal updated 5 years ago 3

In our procedure Tasks Value on an invoice is not allowed to differ from Net Total.

Now when we create an invoice we can check by comparing the different values in the invoices view. Ideally we would check this sooner. So already on project or task level and before the invoice is made. Does anyone have a suggestion?

New quote confirmation page

clement triplet 5 years ago in Something Else updated by Thijs Senten 5 years ago 10

Hello,

We noticed a new page to validate a quotation sent to the customer. It opens automatically in the browser and asks to validate the quote again. Previously, it was enough to click on the link in the mail sent to the customer.

How can I disable this option? We find this useless and it misleads our customers (they think it's an error message).

Thank you in advance.

Question for Italian companies: vendors different and multiple tax rates

Raffaella 5 years ago in Vendor Portal updated by Bartosz Budzyński 5 years ago 1

Hi there,

we are setting up the software and we cannot find how to setup different rates for different vendors (4% INPS, -20% ritenuta d'acconto, +22% IVA).

How are you dealing with this issue?

Thank you in advance

Export invoices for accounting

clement triplet 5 years ago in Home Portal updated 5 years ago 3

Hi,

I am writing to you today as I have a question about XTRF and about how to configure exported data.

I need to export the invoicing information so that I can import it into my accounting software (specifically the invoice number, the date, the amount excl. VAT per language combination, the VAT rate, etc.).

However, I do not know how to obtain what I want: XTRF gives me merely the total amount invoiced, and I need this amount broken down by each line of the invoice. In other words, where an invoice is for a project involving several languages, I would like to be able to get the total excl. VAT per language in addition to the other information (VAT, incl. VAT, etc.).

I have not found any information on this issue either in the documentation or online.

Can you help me?

Thanks in advance and kind regards.

Answer

Such breakdown is not really possible in the Invoices module. Per design, one line there is one Invoice as a whole.

Instead, you should take a look at Projects > Tasks view.

Firstly, because it is the Task that ends up on an invoice.

Secondly, you may filter by invoice attributes (show invoiced Tasks and filter by invoice date etc.).

Task total Agreed, as well as VAT rate are there too. The only item missing is Gross total, but that's a matter of a simple Custom Column.

I see you are using Tasks views extensively, so this should not be a mystery tour for you. Get back to your account manager if you need any customizations done.

project management fee minimum

MindyK 5 years ago in Home Portal / Classic Projects updated by Marek Joniec (XTRF Product Manager) 5 years ago 1

Is it possible to have a project management fee be a minimum? Or is there a way to over-write the % option? For example, if the project management fee (of 10%) is $15, but we want the minimum project management fee to be $25, we currently have to do some fun calculations in modifying the percentages, to get to that amount. Is there a way to set this as a minimum or at least enter a value? Thanks in advance.

Answer

Hi Mindy

I believe it can be done in XTRF. I'd suggest adding to the Client Price profile a rate for the Project management, the rate with percentage calculation unit. On that rate, you can also specify the minimum charge, like this.

Now an example in the quote, the language combination total is 100, this PM fee receivable is set to add 10% of the total, but with the minimum charge the receivable value is set automatically to 25

Best regards,

Marek

Can a vendor pull out of a job they've already accepted?

Seyma Albarino 5 years ago in Vendor Portal updated 5 years ago 2

Within the vendor portal a vendor can accept or reject a job offer, but I'm wondering if there's a way a vendor can indicate to us that they can no longer complete a job they accepted. Currently, they can email us outside of XTRF, but is there a way to do it in XTRF? There doesn't seem to be a button for this. Would the best option be for the vendor to leave a note for the project manager?

Answer

Hi Seyma

I'm not sure if the note for the PM is the best option here. This note is available for the PM after Vendor completes the job in the Vendor Portal, so technically the Vendor needs to complete the job to push info that the job can't be completed. IMHO that would cause more trouble than its worth.

I think that currently, the safest option is an e-mail directly to the project manager.

Best regards,

Marek
