Workflow job type - additional options other than PM

When we setup our workflows, in the workflow jobs, we use the option 'Default Vendor' is the 'Current PM'. Is there a way that we can get another category added, which links to the project's profile, such as Account Manager (preferred) or Project Coordinator? This way, that person would be assigned to that workflow job in the workflow and we don't have to add them at every instance?

Best practices for changed source documents

Customers will send changed source documents quite frequently. Even though we are experienced users of Smart Projects, we are not sure whether we are using best practices for such scenarios. Quite some time ago, we discussed the need for better handling of source document reimports (integrated with memoQ). Not sure where this is on the roadmap, which is why I would like to UE community benefit from this discussion.


Scenarios:

(1) Integrated memoQ project with bilingual source documents already created, but translator hasn't started.

(2) Integrated memoQ project with bilingual source documents already created and translator has started, but not delivered.

(3) Integrated memoQ project with bilingual source documents already created and translator has started and delivered. Bilingual document is now with proofreader.


What is the best way to handle both file management and finances (receivables/payables) in these scenarios with the current Smart Project design?

XTRF for Sheets Add-on not refreshing automatically.

The new Add-on for google sheets is great, especially the auto refresh that is supposed to refresh the sheet every hour. Unfortunately, I have found that it does not refresh every hour and I have to manually refresh it. For example, I went into my sheet today 7/11/2018 and it had not refreshed since 7/9/2018. Is there a solution to this?

System and user time zones

I could not find a UE thread or release note on this topic. Is anyone aware whether this issue has finally been fixed in the latest 8.x patches?


While the settings allow to differentiate between System and User time zones, this has not worked since its inception. Example: System time zone is the time zone of headquarters. User time zone varies depending on where the branches and vendors are located, or where you are currently working from if traveling. IP sets the User time zone. But to avoid confusion when working over several time zones, the System time zone is supposed to standardize time entries (project planning, deadlines, vacation planning, work logs, etc.).

Page refresh after canceling receivables and payables

Hi,

When hitting cancel in the receivables or payebles window a page refesh still occurs.

This was solved for the save button. It would be great if tis also gets resolved for the cancel button.

Integrating Hubspot CRM with XTRF CRM

Our business development team has been using Hubspot CRM for a long time and we want to know if there is a way to integrate the data they have on Hubspot CRM with XTRF. something that doesn't require manual data entry.

Trying to determine on-time delivery... "Actual delivery date and time" doesn't seem to fill...

We're trying to use XTRF to evaluate an on-time delivery metric. We can compare the project deadlines to the project close date. However, in many cases, the date a project is closed is different than when it was delivered. And if you go into an old project to change something, the project close date then updates. 


I started looking at "Actual delivery date and time" and realized that I have no data in this field. 


So two questions.


1) Do others have a metric of on-time delivery in XTRF? How do you do it?

and

2) What is the "Actual delivery date and time" supposed to track? Are we doing something wrong? Is this field not used in Smart Projects?

Integration with QuickBooks Online - do you map fields for PayPal address or other payment info?

We have the integration with XTRF and QBO, and are wondering how others with the integration get information like PayPal address, bank account information for ACHs, or other payment information to their accounting team. We made a custom field when vendors sign up with PayPal as their payment method (in Invoicing tab) called "owner email," and thought that would be nice to map to the "Account No." section of their QBO vendor data. When we do bill payments on QBO, the info in Account No. is used for the "memo" section, and then we can make an easy-to-manipulate report for that day's payments to use for the required file format to upload to PayPal for batch payments.


XTRF and other users, do you have any recommended best practices for this, as well as other payment methods? Is there the possibility of a payment-related field from the vendor profile mapping to QBO in future versions?

Where can I add my terms of service for the clients?

Hi,


I would like to add the Terms of Service to XTRF, so that my client can access it at any moment if need be.


Right now we added these to our quote templates, but this is getting quite heavy on the quotes.

Maybe you already have a solution for this?


I know you can put a SLA in the Vendor Portal, so maybe there is an equivalent for Clients?

Vendor Portal API

Question for all you API users. Based on https://xtrf.target-languages.com/api/doc/ API commands are not yet available for the Vendor Portal. Have you found any workarounds (scripted jobs, etc.) to pull data from the Vendor Portal?


Example: We would like to access the memoQ Handoff Package in the Home Portal. Currently it is only available on the Vendor Portal. Until XTRF makes that data package available in HP, we would have to use some automated workaround to give our PMs a break.


This is the end game we have in mind:

Create a Scripted Job in XTRF with the following actions as each T or R1 job is started:

- download and copy memoQ Handoff package from VP to corresponding HP project

- unzip this package and add contents of ProjectTM and ProjectTB subfolders to the started job as Reference Files


This way, we can finally have a workaround for all those vendors who do not use memoQ and rely on Project TM (.tmx) and TB (.csv) as additional reference material for the job. To make it more sophisticated the Scripted Job can be conditional based on the CAT tool entry in the vendor profile.
