XTRF Summit - Everyday Risk Management

I have been asked to carry out the Friday presentation about "Everyday Risk Management - Data and Business Continuity" at XTRF Summit.

I'm a maintenance manager at XTRF, responsible for our Cloud infrastructure and ISO 27001 compliance. I though that instead of sharing our "success story", as it is often done on such events, I could address your actual issues.

Do you have any questions for me? Are there any particular issues related to this topic that I should discuss? What would you like to hear about?

Providers are trying to invoice quote tasks

Hello,

We are adding providers to tasks in the quote stage to check the finance but these tasks are showing in the provider's vendor portal profile.

It confuses the translators because they think they have done the job and want to invoice it.

Technically they cannot invoice it because the task status won't be ready in quote stage but is there a way to not show these quote tasks in Vendor Portal?

First Close Date and memoQ 9 compatibility of 8.3

Could you please expound on the new concept of the First Close Date (released with 8.3)? Currently it seems as if this field is left unlocked after closing the project. Will an additional field be added/visible when reopening and closing a project? So far I am not able to see such a field, unless the the finish date of the last job of a project is that field. I am sure there is an easy explanation.

Speaking of which, it would be helpful to continue posting an example for each new feature of the latest minor release, as was partly done in the past. The same goes for compatibility of the new XTRF version with CAT tools, e.g. is XTRF 8.3 compatible with memoQ 9.0?

Answer

In 8.2 we rolled out a change concerning First Close Date in Classic Projects. The change is described in details in this article. The change from XTRF 8.3 is a similar change, but this time for Smart Projects. Actual Close Date has been renamed to First Close Date, and it doesn't get updated now if you reopen and close again a Project. The field can only be updated manually by 'admin' user.

Regarding compatibility with memoQ 9, out integration was not tested against this version before the release of 8.3. We are planning the tests in the nearest future and, when the compatibility is confirmed, the information will be published in the release notes.

feedback report

Hello, I was wondering if we can add a different category to Feedback Reports.

For example, other than Client Complaint, Client Approval and Internal Nonconformity, can we add Project Manager Approval because we would like to keep record of PM feedbacks as well.

I saw that there are a few topics about customising it and nearly all of them have a comment saying `there is a thread on our other forum about customization of the feedback report` but it's like a loop and I didn't find an answer when I checked those topics.

Associating quotes, projects, clients to e-mails manually | Messages tab

I have an on-going (and unfortunately long-standing) ticket with the HelpDesk about this, but I am wondering if everyone is having the same difficulties as we are.

We like having project related messages easily accessible in the Messages tab of a quote/project/task/etc. It's a great way for anyone who wants to know more about the project (especially what was communicated with the client) to quickly catch up with everything. This works fine with messages the system associates automatically. However, when we try to associate e-mails manually from the CRM > Mailboxes section, the process crashes.

Has anyone had this problem and figured out a way around it?

How to get details (unit, quantity, price) from customer invoice api?

I can't get details about the jobs using customer invoice api. I need information as unit, quantity and price and not only the total gross.

Number of jobs: Zero ("0" versus " - ")

We've noticed that when filtering views to include the number of jobs a vendor has completed, there's an inconsistency in terms of how "zero" jobs are represented in the "Number of Jobs" column. We see "0" for some vendors and " - " for others. 


I can't understand why some vendors would have one shown versus the other. Do they indicate different things?

On a related note, it's very inconvenient to have "zero" jobs marked as " - " instead of 0. This makes it impossible to filter for vendors who haven't done any jobs yet (instead, we have to include them in a larger list of vendors and then sort the column by number of jobs to find those who haven't done any).

Answer

Null is on those, who never had jobs. 

Zero is on those, who had jobs, but they were taken away from them. 

The numbers are set by a periodic job running in the background, so anyone with 0 had another number for a while, which was then 'zeroed'.

How to set starting day of the week in HP/VP calendars?

Where do you determine for both HP and VP whether the week in the XTRF calendars starts on a Monday or Sunday?

I thought it was the interface language setting that would determine that, which does not hold true for the VP, at least.

Here an example for the VP with German as the interface language (Monday is the typical starting day of the week in German calendars):
