I had a question about the maintenance announcement, but the question was deleted, and I would have liked to follow up on it. I think as a policy, XTRF should not delete people's questions 1) so there can be follow up, and 2) so we can have an archive of searchable answers.

The question and answer were deleted because they were no longer valid as the maintenance time was over. We don't want such topics to make noise between the valid ones. If you want to discuss about maintenance times in general, please add a new topic.

Examples of project deadline settings

HI,


I'm having a problem understanding what values to put in a workflow definition given the following steps in a classic project:


request sending     5%

memoQ prep          5%

translation              60%

editing                    25%

memoQ export       5%


What values would I need to put in the workflow definition if I wanted the above percentages reflected in the project deadlines?

In the time&requests tab you can use these exact values without % sign. They don't need to add up to 100, by the way. 


If the Task start to deadline time is long enough, the jobs duration will be set accordingly.

Question about standard Project / Quote Names

I'm in a question asking mood... How do people standardize (or not) their project and quote names? 


We standardized our project quote names by this structure:


"Reference/Short Description - # Files - Sub Service (If applicable)"


In our old system, we'd include the client name in the project name too, but with XTRF that's not necessary. This system allows the PM a certain amount of data at a glance when looking at their project dashboards.

Emails rejected

A couple of our clients' mail servers are rejecting messages we send through XTRF.  Do we need to set up SPF and DKIM with XTRF to help with this?  If so, how?  And if not, what should we do?

The DKIM and SPF has nothing to do with XTRF itself, these are terms related to the email service provider, and in general, you should have them enabled there. When there is a specific error message our Service Desk will analyze it and suggest a solution, there is no general one.

Question about file security

I have a question about security and communication about security with clients. How do you all communicate to users about XTRF security? How does the file security compare to 3rd party services such as DropBox? We're not clear on how to articulate this to our clients and would love some insight from the XTRF team and other users.

I am not sure if I have a perfect answer to your question, but if you are using the cloud version of XTRF, they do have a very good ISO security certification. We recently used that and the security policy I believe to satisfy the requirement of one of our clients when audited for 3rd party services. They have ISO 9001:2009 and ISO 27001:2013: https://www.xtrf.eu/iso/

Overall tab under Finances disappears

Whenever I add a receivable under the finance tab, the "overall" tab is completely blank. This has never happened to me before.

Mandatory information fields for projects

Is it possible to set as mandatory some of the fields that appear over at Main data for a specific account? In case so, what are the options: unable to close the project, sending out a notification to the PM, etc.

Do not think so, Eduardo. Only necessary fields are the Name, Legal Name and Email Address, so if you wish some other to be always filled up, you just need to mind it to your employees. 


And in addition you can always add some more in the general configuration in Custom Fields section, or hide some in the Hidden Fields
