I need your support to know about XTRF Macros.

I need to know if it is possible to automate a project on XTRF using Macros, i.e. creating a project with workflow, adding receivables, instruction, start date, deadline, assigning to a vendor, adding payables, and starting the job automatically for more than one task according to excel file containing relevant information.

Changing Client for Invoicing - different VAT

Help needed.

How do you manage situations when after receiving the invoice, client requests that the invoice should be prepared using different requisites and sometimes that new client is even in a different VAT zone?

For us it is a troublesome process, because we have to register a New Client, change all Tasks to the new client etc.

I this process some of the Receivables change or even disappear.

Maybe you have worked out a better, easier process?

Unfortunately this happens frequently, so any help will be appreciated.

Can the quote Accept / Reject links be inserted into the PDF template?

Is it possible to insert the quote Accept / Reject links into the PDF quote template?

We frequently download the quote PDF and share via email rather than use XTRF for a number of reasons. However, we'd still like to use the automatic accept/reject links by having them embedded in the PDF quote. Is this possible?

Created On Date for Quotes

Another quote related question in Smart Projects.

First of all, there is no date sent field other than 'created on' field. That would be helpful since sometimes these dates are different. 

But my real question here is about how we use the 'created on' field. Sometimes we send out a quote and the client doesn't want to approve it for a few weeks or even months. By that point, the client has asked us to update the date field. The 'created on' date isn't editable. So, our option seems to be -  reject the quote, clone the opportunity (or just duplicate the quote), and then create new receivables so a newly created date can be used. However, since duplicated quotes don't duplicate the receivables, then we have to duplicate that work. 

1) Is there another option to update a created on date? Does it have to be another custom field?

2) Is there a way to copy existing receivables onto a new quote?

3) And of course, are others seeing this issue?

Confirmation from Vendor

When you set up a new project and hit the START TRANSLATION button, the vendor receives the new job, you can send him/her the PO. But how do we know that the vendor has accepted the job or viewed it?

Hi All

@info There's no confirmation uppon manual Vendor assignment by the PM. Here system assumes the PMs know their Vendors and the selected one is a proven reliable business partner of yours. If the PMs are uncertain of hat they've should always send an availability request/job offer prior to the Vendor assignment.

@Snacho I'm very eager to read your proposal of a functionality that would be useful in the scenario you're describing. Because for me, this is a difficult one. If the Vendor had an accident, is injured, there's a typhoon, whatever makes the access to a mailbox impossible, are we safe to assume that the Vendor is not able to access mail but is able to log in to the Vendor portal and click a button?

Laszlo is reluctant to additional e-mails so we need to keep that in mind and the solution shouldn't increase the e-mail traffic between Vendor and PM. 

As I said this is a tough puzzle for me.

Reviewing New Vendors

I'm wondering others' experiences with reviewing new vendors. We find that going through the vendor data is a tedious process and requires many clicks, opens, closes and requires about 10 minutes to review a single vendor, just because of the various tabs and data formats that need to be clicked. We ended up hiring someone to only review potential vendors, enter it into a seperate database, which then allows us to review their data, and make decisions on who to reject, and who to follow up with.


This process is much better now than before we were XTRF, but it's still very labor intensive, very time consuming, and we do much of the analysis outside of XTRF.  It seems to me that some interface tweaking, and with a few more features built for reviewing potential applicants, it could be much better.


What are other experiences with reviewing and managing vendors in XTRF? Do others have similar experiences?

Version 7.0 bugs... Question

When we identify a bug in version 7.0, is it being fixed for all instances, or one instance at a time?


And if we are all finding a few bugs here and there, should we all post them in one place so we can all look out for them and help identify if a bug is localized to one instance, or for everyone? This isn't for purposes of complaining, rather, I am afraid that I am not going to find all issues, and would love a little hive mind to help us all make sure we're not sending out incorrect information. Thoughts?

In-house staff profile

Hi everyone, Happy New Year!

I have a general question about how you usually handle in-house profiles of vendors.

Do you add rates, like you would with external collaborators, or do you leave those fields empty?

My question mainly revolves around what we would call "business expenses" (or would it be "internal expenses"? Not sure).

An example of what I mean: In our company, all of our PMs are also translators and/or reviewers. Which means that at least one task in each project is usually assigned to them. At the moment we do not add "Payables" in relation to those tasks, and in effect we don't have a clear idea of the "costs" these tasks represent for the company. (We used to calculate, roughly, each person's salary in relation to their weekly hours). Now we would like to have a clearer image on what each employee is costing the company, when it comes to those tasks, if that makes any sense.

How do you handle such things? Do you use rates per person, or have a general cost in mind?

SMTP settings for Gmail / G-Suite

We use Google G-Suite for our email and the hosted XTRF. We know that Gmail does not allow using custom From header other than the one you use to log in to the SMTP server. And this is causing us problems.


Is there any way around this? Can individuals use their personal gmail SMTP settings so emails can come from the individual employees rather than a general mailbox?
