What is the difference between a task and a job?

I haven't been able to figure it out, and the XTRF Knowledge base hasn't been very helpful. Thank you!

Hi Marcela,

The easiest way to explain the difference would be that a task is one whole workflow and a job is one part of a workflow (e.g. translation job, review job ...). So jobs are parts of a workflow and a task is the whole workflow.

PM photo in email signature

Is it possible to have an individual photo in each PMs signature in XTRF? 

At the moment is seems that the photo included in our project manager's signature can not be personalized and changed for each project manager?

Has somebody managed to do that?

Notification about new release (notes)

I'm not receiving notifications about new releases and published release notes. I have tried different configurations in the Notification Center, but have not been successful. Am I missing something? What needs to be clicked to receive this info?

services shown on quote request form

Hi,

I was wondering where I can set which services are shown in the quote request form.

We have some services that are only used for particular clients and would not like any new clients to be able to see or select these.

Hi 

THe Quote request form uses the list of services selected in the Client Portal configuration.

So all services selected in the Client portal configuration, are automatically available on the QRF.

If you don't use Client Portal don't worry, the Client Portal doesn't have to be enabled for the list of services to work.

How should we register 'pre-invoicing'?

As we near the end of the year, some of our clients ask us to invoice an amount before the work is actually done (or even started).

What is the best way to do this without messing up reporting and other checks?


I imagine we could create an invoiced based on a 'dummy' task, or even with just items, and mark future 'real' tasks as uninvoiceable, but it seems a bit messy and prone to confusion and mistakes. Also, it would highly likely mess up reporting.

Are there better ways to do this?

    Mark is right. If you know exactly the amount of the future project you can invoice it upfront.

    But if you're unsure about the exact values and it is actually a credit, you can use the prepayment.

    All you need to have is a project for the client, it doesn't have to have any language combinations or tasks, the project level itself is enough to add prepayment and then invoice it in a regular way.

    Then you can freely add tasks to this project and create invoices for those tasks. The system will remember that there's a prepayment and it will be cleared on the final invoice.

    Adding new files to an archived project

    I have a new situation with archived projects using smart projects. 

    We had an old project that we had to run more edits on, but the project was already archived. We decided not to create a new project, since the translator was just going to do another round of edits and it didn't deserve a new project, and we handled it outside of XTRF. However, now it's done and we want to keep the new files as part of the archived zip files.


    So, I'm going to download the archived files, extract the files, create a new zip with the new final document, and then archive that zip folder.


    My question... Is there any thought of adding functionality to make archives more useable in Smart Projects? It's frustrating that XTRF Smart Projects can't extract files from archives requiring workarounds.

    Hi Mark

    We're looking into adding the de-archive option to the Smart project, it's a draft at the moment but hopefully, we would be able to deliver it within one of next releases. I can't promise 8.3 but maybe right after that.

    Not setting target language

    Hello again, I have a DTP project that has EN as source language but many languages as target which are not really relevant to the project, since this is not a language thing but a design thing. Is it OK if I don't set up a target language? What will happen with my receivable if I do this? Thank you!

    Hi Marcela

    Technically the project in XTRF requires both source and target language, at least form the Vendor assignment perspective. You can't select a Vendor for a job if there's no language pair.

    And since you can't select a Vendor you can't start and complete job, thus the project won't get closed.

    In a case like this, when the Target language is not so important, I'd suggest selecting the same language twice, as both the source and target of the project.

    Compatibility with memoQ server 8.6?

    memoQ server 8.6 contained some crucial bug fixes. Before we upgrade our memoQ server from 8.5 to 8.6, could you please confirm compatibility? I know that XTRF Development was still working on some bug fixes in the XTRF-memoQ 8.5 integration. What's the update on that front?

    We're currently working on the compatibility tests and I can only say what Jamie already mentioned, so far so good.

    It's not official support yet, because we haven't run all the tests we have for the integration.

    Oficial confirmation shouldn't take more than 2 weeks, but this is just my raw estimate.

    Quote Field Names - variance between smart view and quote

    We're trying to get a better handle of our quotes and reports, and we want to confirm what date related field names in the quote correlate to date related field names in the Smart View. I am making assumptions but just wanted to confirm. Also, is there an editable language setting that we can edit field names to make sure the match if there is a discrepancy? Or am I just reading this wrong? Thanks!
