Do you use different workflows for freelancers (translator job, editor job) versus agency (translator & editor job)?  We use agencies sometimes to help handle large volume.  I was wondering what other LSPs did in these circumstances in XTRF.

Payment reminders

We are currently deciding on a system for automatically sending payment reminders to clients with unpaid invoices and it would be interesting to hear experience from others how you deal with this aspect. One of the challenges is that we have multiple different versions of such reminders depending on how much time passed since the due date while XTRF allows (AFAIK) for only one email template of the type "When client is reminded about a delayed payment". This could be probably worked around by putting some if/else code into the template that will allow for using more versions. Then we are thinking of a macro that will periodically run and sent the above reminder for all invoices with given delay since the due date.


Any tips or ideas you can share how this can be handled efficiently?

Branch filtering for Vendor Invoices

It would be great if the vendor invoices could be filtered by branch like the client invoices.  


I find that all of the client features in XTRF have more filtering capabilities available than the vendor side does.

No time stamp for date quote/opportunity lost

I'm trying to generate a report, of how many quotes we have won or lost in a given time period. However, there is no time stamp for when a quote or opportunity is marked as closed won or lost. Has anyone else wanted this feature?

I guess the work around is to have the PM update the expected close date when the status is updated, but that feels like a workaround rather than something that should be pretty straight forward. 


Any thoughts?

My workaround is to have a custom field which will contain the timestamp and then create the periodic job which will update this field according to the close date. This is not a nice way but it works. I can help you how to do this.

Classic Projects more powerful than Smart Projects?

This is a question to XTRF, which will likely interest all other Smart Projects users. Quite some times we are being told that the function we are looking for is available in Classic Projects but not in Smart Projects. My understanding has been that Smart Projects is the next-generation version of Classic Projects. It thus is confusing when Classic Projects provides better or more comprehensive project management features than the "state-of-the-art version".


Out of curiosity, is Classic Projects still being developed or will it remain at its current level until it is completely substituted/overtaken by Smart Projects?

We agree that Classic Projects interface has lots of great and advanced functionalities and can serve almost unlimited number of complicated project scenarios – at least for now.


Smart Projects were created to provide very easy and modern interface for project management, with focus on improved efficiency, simplicity and user experience. They already allow lots of different project scenarios and more and more Clients use Smart Projects only, even though they do not cover some of Classic Projects functionalities. Of course, we are constantly aiming to close this gap. To adress the shortcomings you mentioned we keep working on performance, better support for multilingual projects, more integrations with CAT Tools, and lots of other useful and attractive features. Although it needs some time, sooner or later Smart Projects would cover all Clients' use case scenarios.


At the same time, we maintain and add minor improvements to Classic Projects though, to allow all Clients transition to Smart Projects when they feel ready. Those whose scenarios are not yet supported by Smart Projects can continue to work in Classic Projects.

See all pending vendor registrations

Hi,


Is there a way to see all pending vendor registrations? We often have vendors who think they have completed their registration on the portal, but when we search for them in XTRF we cannot find them. They only have started registering, but haven't completed the process. They do not realise that until we ask them again to register and they tell us they already did. Then we have to tell them to complete their registration, and they finally appear on XTRF.

Is there a report or something that can show all pending/uncompleted vendor registrations? As of today I have no idea how many tried to register, but failed.

It would be useful to be able to contact them and tell them something went wrong.

This, unfortunately, requires a development - there is no such feature in the system.

Applying project minimums AND discount/surcharges question

I have a question and want to know how others deal with this.


Before XTRF, when we had a project that had a project minimum AND a discount/surcharge, we did the math in this order:


  1) Apply Project Minimum 2) Apply the discount/surcharge 3) Get total


That would lead to this type of fee (number are just to show an example):


  * Project with $10 receivables. 1) Apply $50 minimum. 2) Apply 25% rush fee 3) Total is $50+25%=$62.50


However XTRF does the math like this:


  1) Apply discount/surcharge 2) Apply the project minimum 3) Get total


That leads to this fee structure for the same receivables:


  * Project with $10 receivables. 1) Apply 25% rush fee. 2) Apply project minimum. 3) Total is $50 applied to ($10 + 25%) = $50.00


Our concern is we already have agreements with our clients on how we charge them and we don't want to negotiate changes.


Does anyone else deal with this? Our work around is for projects with project minimums AND discount/surcharges, we end up adding fees and project minimums as positive or negative receivables. However, that is a work around and a bit challenging for our PMs. Any other thoughts on this?


XTRF, is there a way to have an option on how discounts/surcharges are applied?

Needed development : to get a notification (either within the system or via email) when a vendor leaves a note about a project in their vendor portal.

Many of our translators will leave comments/notes relating to projects , via their vendor portal. Because of the large amount of projects we have daily, it's not possible to be checking all the projects to see if anyone has left a note. It will be much faster, easier and more convenient, if the PMs were to receive a notification when someone leaves a note.

Hi Meghan,

When a vendor leaves a note in a classic project, you get that along with your e-mail notification that the job was finished.

There is the information displayed about notes from a vendor in the project, task and job section in the home portal:

Such e-mail notifications for classic projects are not currently possible.

Possible to let client download resources from portal?

One of the things the customer can see on their portal are the resources (TM/TB) belonging to the client. However, they can't download them and we are wondering if there is some way how to make this possible and let clients download these resources if they specifically ask for it?

Downloading Resources listed in Customer Portal under Account > Resource Files is not a matter of settings, we currently do not offer such functionality. However it seems to be a good improvement. Why don't you post it in the Ideas forum? I think you'll get some upvotes.

Hi Sara,


Yes it is possible - all desired settings are to be found in Configuration -> General Configuration -> Settings -> Dashboard. There you can set up some sorting styles.
