adjusting an incorrect invoice

We have a situation where we have an incorrect invoice and the client has asked us to adjust the amount. How do others handle adjusting invoices? It seems that the only answer is to delete the invoice, add/modify the receivable, re-issue the invoice. Is that the only way?

Hello Mark,

What we do is:
- delete the task from the invoice (but not the actual invoice) and save the page
- go to the project and adjust the receivables and save
- return to the invoice and add the task again

That way, we can keep the invoice number and only change the amount.

That was it! Thank you. I was concerned about loosing the invoice, but this allowed me to re-do the receivable and add it back. Thanks Alexandros!!

This is great to know! We have always deleted it, adjusted the receivables, and reissued as Mark said, but that also requires deleting the old invoice from QuickBooks. If we follow Alexandros's suggestion, will it automatically update to the correct amount in QB Online (we have the integration)?

Meghan, how is the QBO integration working for you? I'd love your thoughts. We wanted to use this, but our initial integration didn't work so we aren't using it. Did you have to change your processes to make it work? And how do you deal with surcharges/discounts with QBO?

Hi Mark, well we have had quite a lot of bumps along the way, but that is partly due to switching from QuickBooks Enterprise to QuickBooks Online around the same time we finally upgraded from a very old version of XTRF. So, it's tough to say what was the culprit with some of the issues we were/are having, plus I don't have full access to QB to know exactly what is going on :) We have had some issues with naming/categorizing line items properly so that they fall into the right "bucket" in QB instead of making a bunch of new items every time, for one. It seems there are more settings that need to be adjusted than are visible on the integrations page of the configurations that we have access to in order to get some things straightened out and mapped correctly. I'm happy to chat elsewhere if you like or contribute to a thread after doing a little research!
