From and To Emails sent from XTRF issues?

mark 7 years ago updated by Łukasz Kaleta (Senior Customer Success Manager) 7 years ago 9

We have an issue with our emails being sent out from XTRF and I wanted to know if others have it and if anyone knows of a fix.

When XTRF sends emails on behalf of users, the "From and Reply-to" are being populated by the user's name and email address. But the email is being sent from the main email account that is listed in the configuration.  That causes a number of problems - including our emails being seen as spam in some cases, and bounce backs all going to the main email account rather than the user email account.

XTRF informed me that this is a problem with our mail server, not XTRF settings. FYI, we use google suite for our email.

Has anyone else had this problem? Has anyone else solved this problem?

Thanks!

Gmail does not allow using custom From header other than the one you use to log in to the SMTP server. Generally, setting From header is not supported by some email providers as a way to avoid email abuse and you should not rely on it. I believe recent XTRF versions shows warning when you set this option. The Reply-to header is supposed to be a correct way to address the responses, but unfortunately not all email clients respects it (that's why originally the "From" option was added several years ago)

So there is no way to set it up so each user inputs their own SMTP settings?

Hi Mark,

There are two places where you need to set the 'From and Reply-to', this is on the branch settings (Settings --> General Configuration --> Branches --> [Select branche] Edit --> E-mail tab) and on the e-mail settings (Settings --> General Configuration --> Settings --> E-mail tab).

After setting this value, you indeed need to change some settings on your e-mail server. As we use Microsoft Office 365, I only know how to do it there. We have a main account and set permission from some sub account to send e-mail as the main account. We can only do that for internal addresses (@simplytranslate.nl) that we host within the mail server.

I am not sure if Google suite has the same kind of feature, as Marcin explains it wouldn't be possible. But I think, as you use Google Suite that this should be a possibility though.

Thanks for the response. I'll take a look.

Could you give me a bit more direction on the "branches"? I don't see it in the Settings --> General Configuration. I'm looking for it but can't seem to find it.

Thanks. But oh well, seems that I don't have that option. Which is odd, because when we do have a drop down in other places asking for our branch...

This is probably due to some inefficient rights in the system. If you ask your account manager, he can give you the necessary rights or he will be able to change it for you.

I'll look into it. Thanks!
