Double Booking Alert

Juan Cardona 5 years ago updated by Bogusław Reich (XTRF Product Owner) 4 years ago 3

Hi,

We would like to request the Double Booking Alert functionality with the Planned Start Date and Planned deadline fields.

This is because that field reflects the actual time when the Vendor is busy and this is the useful information we need to prepare our reports and plan our workflow.

I think this should be easy to implement, as it wouldn't require to code much.

Other fields only reflect the time on which we created the event and not the actual time the vendor is busy interpreting or translating.

The alert you described is already available in Smart Projects. Additionally, for both Classic and Smart Projects, you may benefit from the upcoming Vendors Workload view mode that is planned to be released soon in XTRF 8.5. In this mode you will be able to see the details of your Vendors' scheduled Jobs for the time period of your interest. Jobs ovelapping for a given vendor will be clearly visible there.

I'm afraid it is not available with the specific fields I mentioned. That's why I am posting here.

When two vendors (interpreters in this case) are booked in a specific period, the system simply won't alert us about it.

I am talking about the Planned Start Date and Planned Deadline fields (the actual time when the interpreter is busy), not the date when the event was created in XTRF.

The alerts are triggered when there are conflicting/overlapping Jobs assigned to the same vendor. For Jobs in status Accepted the system is looking at their planned start date and deadline. For Jobs in status Started the system takes into account the actual start date and planned deadline of the Job (it has been improved this way in v. 8.3).

Note that the project start and close dates are not concerned here at all, only the Jobs dates and their statuses matter. Therefore, as long as the Job dates reflect the actual time when the interpreter is busy, the alerts should work for you as expected (regardless of the Project creation date). Let me know if I'm missing something.
